Reporting to the Administrative Director of the Division, the Grant Administrator is responsible for the day-to-day management and overall health of research and select clinical/divisional operations accounts within the Division of Pulmonary and Critical Care Medicine. This position supports a broad range of financial, analytical, and administrative activities. It also serves as a divisional resource for faculty regarding Federal and Private Foundation regulations related to grant applications and administration.Responsibilities: Pre-Award Responsibilities: Coordinate all compliance, administrative, and financial aspects of grant submissions with Principal Investigators, support staff, and collaborators. Prepare form sets, develop budgets, write justifications, and manage JIT requests. Ensure proposal compliance with sponsor and hospital policies, as well as those of subcontracting institutions.Ensure grant submission, implementation, and reporting adhere to policies of the hospital, sponsor, and subcontractors. Clarify policies as needed and work with PIs to ensure compliance. Perform budget development, financial modeling, review fund statements, resolve accounting issues, and liaise with federal and non-federal agencies and subcontractors.Assist PIs in developing and submitting annual progress reports. Post-Award Responsibilities: Manage grant-specific activities such as purchases, consultants, and subcontractor payments. Maintain financial files and submit necessary paperwork. Coordinate with research administration to ensure compliance and provide guidance on purchases and charges.Follow up on expenditures, troubleshoot issues, and ensure readiness for audits. Collaborate with departments like Materials Management and Payroll. Review expenditures monthly with investigators, prepare journal entries as needed, and identify accounts for closeout or potential deficits. Assist in projecting costs and recommending solutions.Other Responsibilities: Support the Division's annual budget development. Manage personnel data entry in Insight and Peoplesoft, maintain salary spreadsheets. Review space density and asset assessments with leadership. Develop and oversee financial and statistical reporting systems, conduct fiscal analyses, and serve as a resource for financial information.Qualifications: - Bachelor's degree required; SRA preferred but not mandatory. - Minimum of 3-5 years of grant experience in an academic, medical, or scientific setting.
